We are looking to hire a Product Coordinator to join our team! Reporting to the Senior Product Manager, you’ll support the Product team by handling hotel suite arrangements, guest documents, supplier communications, data entry, and special projects. This role is responsible for creating and maintaining trip support materials, facilitating administrative and accounting tasks, and ensuring detailed logistics for both big jet and small jet trips. What you’ll do:
- Request rates for hotel suite upgrades from vendors worldwide; prepare detailed internal spreadsheets to communicate data and support related marketing materials.
- Process and confirm suite upgrades, pre/post nights, and package arrangements in Smartsheet and Softrip, ensuring accurate bookings and enhancing the overall guest experience.
- Prepare and maintain accurate tour option manifests to ensure seamless trip execution.
- Input and update Product Coordinator assignments in Salesforce, maintaining data integrity and operational efficiency.
- Generate and refresh dietary and special occasion reports (including PPAX and agent amenities) to deliver personalized guest experiences.
- Complete Arrival & Departure (A&D) reports to support smooth guest transitions.
- Lead POD checklist and trip overview documentation, ensuring readiness and compliance.
- Supervise and respond to Control Risk alerts, use the GSAT dashboard for safety assessments, and analyze destination intelligence reports from Seerist to proactively mitigate risks and safeguard traveler security.
- Track health & safety compliance using the H&S Compliance Tracker, ensuring adherence to company standards.
- Upload and maintain health & safety data in Salesforce, including posting issues from team members to ensure accurate reporting and timely resolution.
- Compare in-block versus requested availability, initiate email requests as needed and supervise attrition to improve inventory utilization and maintain optimal occupancy.
- Generate and audit operational reports and manifests, including hotel, flight, luggage control, passport/APIS, dietary, special occasions, guest insurance, emergency contacts, and trip history.
- Compile and format guest lists and size reports for printing and distribution, ensuring accuracy and readiness for trip execution.
- Coordinate last-minute changes and support outsourcing processes, maintaining flexibility and responsiveness to operational needs.
- Prepare and share Field Guides, advance pack schedules, and hotel luggage labels, supporting trip readiness and guest experience
- Travel for trip operations as required, which may include advance duties, scouting, on-board assignments, and attending travel industry conferences and trade shows.
What you’ll bring:
- Minimum 2 years of administrative, clerical, or general office experience or equivalent experience.
- Confirmed ability to build and maintain positive working relationships with colleagues, partners, and vendors.
- Proficient in Microsoft Office Suite; experience with databases such as Salesforce preferred.
- Excellent written and verbal communication skills with strong attention to detail and accuracy.
- Highly organized, with the ability to prioritize multiple priorities and meet deadlines in a dynamic setting.
- Tech-savvy; familiarity with Smartsheet, or similar software is a plus.
- Shown ability to work well across teams and departments.
- Flexible, adaptable, and calm with a positive, can-do attitude.
- Strong time management and prioritization skills, including confidence in anticipating and resolving conflicts in workload independently.
- Interest in world geography and luxury travel is highly desirable.
