Job Description
PRIMARY PURPOSE
The Human Resource Assistant provides comprehensive administrative and operational support to the Human Resource Manager to ensure effective delivery of HR services across Wilderness Rwanda. The role focuses on assisting with HR operations, recruitment, employee administration, performance management support, training coordination, compliance, and reporting. The HR Assistant supports on HR initiatives, ensure policy adherence, and contribute to a positive employee experience and service culture.
*This position is based in Kigali.
Detailed Responsibilities
1. Liaison with the HR Manager, Heads of Departments and lodge managers
Act as the primary support to the HR Manager in the execution of Wilderness HR strategies and initiatives.
Provide ongoing updates and support on recruitment progress, employee relations matters, training schedules, and overall HR operations.
Assist the HR Manager in implementing HR policies, monitoring compliance, and supporting performance management processes.
Undertake delegated responsibilities and represent the HR Manager during his/her absence, as required.
Collaborate on HR projects, including employee engagement initiatives, employer branding, service culture programs, and manpower planning.
Liaise with lodge managers to ensure effective management of staff attendance, leave administration, and accurate maintenance of employee records.
2. Recruitment, Staffing & Onboarding support
Draw up and place adverts internally and externally in simplify.hr for entry and junior level positions.
Coordinate job application and screening for entry and junior level positions.
Assist in coordinating interviews, do reference checks including criminal and credit checks.
Prepare onboarding materials & logistics and ensure all employees signed contracts and job description are on file;
Conduct new-hire orientation to ensure smooth assimilation into operations.
Ensure that the Recruitment Policy is enforced and followed.
3. Assistance in Capacity Development
Assist in conducting capacity needs assessment highlighting the existing gap at individual, organizational and institutional level.
Support in developing a capacity development plan for Wilderness Rwanda addressing the capacity needs for both office and lodges.
Participate in formulating training and development program convenient to both office and lodge staff.
Participate in staff training especially in lodges.
4. HR Administration & Operations
Maintain accurate personnel files and HRIS records.
Prepare & maintain HR documentation including a signed contract of employment, addendums, job description, employee details, transfers, promotions, confirmations, disciplinary code & letters, academic documents, leaves, exit documents as well as all correspondences are on file.
Assist with HR audits, compliance updates, and statutory documentation.
Process and share necessary documents requested by staff for bank loan purpose.
Conduct regular checkups in the office and back of the office to ensure cleaned and tidy working environment;
Create new employee’s file, keep required documents and organize them in a retrievable way.
Assist in the administration of staff functions such as heritage day, women’s day, labor day, end year function, genocide commemorations, etc.
File signed attendance and leave for all staff.
5. Leave and attendance administration
Assist in the administration of staff attendance and leave including annual, circumstantial and Maternity leave through Employee Self Service Portal (ESS).
Monitor attendance systems and ensure accurate timekeeping for shift staff.
Ensure maternity leave reimbursement requests are processed within the stipulated timeframe in the ISHEMA system and follow up with RSSB to secure reimbursement.
Verify overtime, shift allowances, and leave management.
Ensure that the Leave Policy is enforced and followed.
6. Performance Management
Support the HR Manager in organizing performance reviews cycles.
Participate in the staff training on performance life cycle.
Facilitate goal-setting, feedback discussions, and follow-up on development plans for entry and Junior level staff.
Assist leaders in managing performance gaps and improvement plans for entry and Junior level staff.
7. Support in HR Reporting & Analytics
Update employee data in Sage 300 People and retrieve monthly HR dashboards and key HR metrics from (turnover, headcount, leave statistics, etc.).
Ensure data accuracy for internal reporting and audits.
Provide workforce insights to the HR Manager to support decision-making.
8. Medical insurance management
Keep updated record for employees and dependents.
Liaise with insurance company to inform about any outgoing and incoming employee and dependent and ensure replacement is done as per medical insurance contract.
Ensure medical insurance cards for new members and related invoices are provided by insurance company, crosschecked and submitted on time to finance department.
Handle and/or report any staff issues regarding medical insurance.
CANDIDATE PROFILE
A Bachelor’s degree in Human Resources or Business Administration with a major in Human Resource Management.
Possession of an HR professional certification will be an added advantage.
Experience:
2 to 3 years’ experience in HR support and administration; hospitality experience preferred.
Basic knowledge of labor laws, HR policies, and employment regulations
Proficiency in HRIS systems and Microsoft Office.
